Sales Coordinator

About the Role

We're looking for a highly organized and proactive Sales Coordinator to support our dynamic and motivated sales team. In this role, you'll play a key part in ensuring smooth day-to-day operations by providing administrative assistance, coordinating communication with clients and internal teams, and managing essential office functions. You'll also have the opportunity to collaborate with multiple departments and gain valuable exposure to various projects. Key Responsibilities

Sales & Client Support

Serve as a primary point of contact for sales inquiries, responding to general emails and directing requests to the appropriate team members.
Provide phone and message support when sales leaders are engaged with clients or unavailable.
Assist in qualifying inbound inquiries for group bookings, catering, and business travel clients.
Showcase the property to potential clients when sales leaders are traveling.
Communicate with travel specialists, corporate planners, and sales clients to gather pre-arrival information and ensure a seamless experience.

Administrative & Office Coordination

Manage office supplies, process purchase orders, and coordinate with vendors to order marketing materials and collateral.
Assist with scheduling and logistics for business trips, including flights, ground transportation, accommodations, catering, and client appreciation efforts.
Prepare and submit expense reports on behalf of the sales team.
Ensure smooth coordination of property tours by liaising with different departments to confirm all arrangements in advance.

Data Management & Reporting

Maintain accurate client information by entering details into the CRM system (Delphi), updating contact records, and tracking sales inquiries.
Assist with blocking guest rooms and event spaces as needed.
Submit responses to group and catering inquiries via online platforms such as Cvent.
Prepare proposals, contracts, and addendums on behalf of sales leaders.
Compile and distribute key sales reports on a daily, weekly, and monthly basis.

Cross-Department Collaboration

Work closely with internal teams to relay important client requests, updates, and time-sensitive information.
Process invoices, deposits, and billing requests in coordination with the accounting team.
Produce event signage for the catering team.
Represent the sales department at client functions and events when needed.

What We're Looking For

Experience & Education

At least 1 year of experience in an administrative, sales support, or hospitality-related role.
Previous experience with a luxury lifestyle brand is a plus.

Skills & Qualifications

Excellent verbal and written communication skills.
Proficiency in Microsoft Office (Word, Excel, PowerPoint) and familiarity with web-based applications such as Google Docs and WeTransfer.
Strong organizational skills with the ability to prioritize multiple tasks effectively.
High attention to detail and discretion when handling confidential information.
Ability to communicate complex ideas clearly and professionally in both written and verbal formats.
Strong problem-solving skills with a customer-focused approach.
Fluency in English is required; additional language skills are a plus.

Physical & Work Environment Requirements

Ability to stand, walk, bend, and move throughout the workplace for extended periods.
Manual dexterity and hand-eye coordination for handling office tasks.
Occasionally required to lift or move objects up to 10 pounds (5 kilograms).
Comfortable working in an environment with varying temperatures, noise levels, and exposure to office chemicals.
