Job Summary The Legal Operations Project Manager will play a critical role in ensuring the LOVB Legal team operates at peak efficiency. This position is responsible for managing day-to-day processes, tools, and workflows that support the legal function. Working closely with the Senior Counsel – Risk & Legal Operations, this individual will help streamline operations, support contract management and project management system deployment, drive user adoption, and coordinate with outside counsel. This is a hands-on role ideal for someone who is detail-oriented, highly organized, and eager to build a career in legal operations. The Project Managerwill focus on execution and process discipline, helping the legal team stay efficient, consistent, and aligned with organizational goals. Essential Duties and Responsibilities Process & Workflow Management Manage legal team workflows, ensuring tasks are tracked, deadlines are met, and priorities are clear. Develop and maintain playbooks, checklists, and standard operating procedures for recurring tasks. Track progress against legal department goals and KPIs. Technology, Tools & System Deployment Support deployment, configuration, and ongoing management of legal technology platforms, including contract management and project management systems. Drive system adoption by training users, creating reference guides, and monitoring utilization. Serve as a first-line resource for team members on legal tech tools. Insurance & Risk Support Assist with day-to-day insurance administration, including coordinating requests for certificates of insurance (COIs), tracking expirations, and maintaining records.Manage the end-to-end insurance claims process, including intake, preparation and submission of documentation to carriers, and maintaining an up-to-date claims tracker. Support the Senior Counsel – Risk & Legal Operations with various administrative tasks related to the Company insurance portfolio including insurance renewals, application documentation, workers compensation audits, and site visits. Maintain insurance logs and assist in preparing insurance-related reports for internal stakeholders. Coordinate outside counsel engagement, including matter intake, billing, and invoice review. Maintain outside counsel guidelines and ensure compliance with billing practices. Track vendor contracts, renewals, and performance metrics. Maintain a log of open legal matters, track status updates, and support timely resolution in coordination with the Senior Counsel – Risk & Legal Operations, internal stakeholders and outside counsel. Budgeting & Reporting Support budget tracking, accruals, and spend reporting for the legal team. Prepare monthly or quarterly legal operations dashboards. Assist with annual budget planning and forecasting. Administrative & Team Support Manage document retention and knowledge management systems. Coordinate legal team meetings, agendas, and follow-up action items. Provide project management support for key legal initiatives. Measures of Success Workflow Efficiency: ≥ 95% of legal tasks completed on time. System Deployment & Adoption: Successful implementation and ≥ 90% user adoption of contract management and project management tools. Outside Counsel Management: Timely processing of invoices with Reporting: Accurate, on-time budget and performance reporting. Team Feedback: ≥ 90% positive ratings from legal team on operational support. Required & Preferred Skills/Abilities Strong organizational and project management skills. Detail-oriented with ability to manage multiple priorities. Proficiency with Microsoft Office Suite; familiarity with contract management and project management tools preferred. Strong written and verbal communication skills. Ability to work independently and maintain confidentiality. Interest in legal operations as a career path. Education and Experience Bachelor’s degree required; paralegal, business/operations, or project management background preferred. 3-5 years of experience in legal operations, paralegal work, business operations, or project management.
