About the Role – Sales Administrator

We are looking for a detail-driven and proactive Sales/Operations Administrator with a background in the travel industry to provide seamless support to our Sales Agents. This role is integral to ensuring a flawless booking experience for our clients, from the initial inquiry to the final itinerary confirmation. Key Responsibilities:

  • Booking Management: Oversee and maintain client reservations in our system with precision and accuracy. 
  • Vendor/Tour Logistics – Liaise with suppliers to confirm accommodations, golf tee times, transportation and sightseeing elements of the program
  • Sales Support: Collaborate closely with Sales Agents to transition bookings from inquiry to confirmed upon confirmation of these services.
  • Client Coordination: Ensure all travel details, including rooming lists, flight manifests, and special requests, are accurately recorded and communicated. 
  • Quality Control: Identify any potential conflicts in the itinerary, ensuring all details are correct, and resolve operational issues before they affect the client
  • Payment Processing: Manage payment transactions and reconcile bookings in collaboration with the Accounting team. 
  • Follow-ups & Confirmations: Regularly liaise with suppliers to secure tee times, accommodations, and other key travel elements.
  • Group Bookings & Logistics: Support the coordination of large group bookings, managing room blocks, transportation, and event logistics.
  • Premium Client Services: Provide high-level customer service by assisting with dinner reservations, caddie requests, additional rounds of golf, sightseeing and other personalized travel enhancements.

Requirements

What We’re Looking For:

  • Travel Industry Experience : Proven experience in a sales support or customer-focused role within the hospitality or Travel Sector 
  • Attention to Detail : Highly organized with exceptional accuracy in handling client bookings and administrative tasks.
  • Industry Knowledge : A strong understanding of luxury travel, with the ability to engage confidently with clients about premium destinations and experiences. Some knowledge of golf and golf travel is beneficial but not required..
  • Communication Skills : Professional and articulate in both written and verbal communication, with a client-first approach.
  • Time Management : Ability to prioritize tasks efficiently in a high-paced environment while maintaining a high level of accuracy.
  • Team Player : Motivated, goal-oriented, and able to thrive in a competitive yet collaborative setting.
  • Office Presence : Available to work from our headquarters in downtown Alpharetta a minimum of 3 days per week.
  • Technology Proficiency : Strong computer literacy and efficiency in using CRM systems, booking platforms, and communication tools to manage client relationships and sales processes effectively
  • Language Skills : Proficiency in Portuguese or Spanish is a plus but not required.
